Aqilla Limited is an agent of Plaid Financial Ltd., an authorised payment institution regulated by the Financial Conduct Authority under the Payment Services Regulations 2017 (Firm Reference Number: 804718).

Plaid provides you with regulated account information services through Aqilla Limited as its agent.


What is open banking?


Open banking is the concept of securely exchanging financial information between financial institutions and third-parties, in order for individuals and businesses to access services that benefit the way they manage their finances. Under the 2018 ‘Payment Services Directive’ (PSD2), approved third-party providers were given new rights to access users’ online financial account data, with the explicit authorisation of the user, in order to permit the sharing of data through dedicated APIs – such as our new Plaid integration.

These PSD2 measures are designed to open up the banking industry in order to promote the development and use of innovative online services, whilst ensuring consumer protection. Ultimately, PSD2 provides the legislative and regulatory foundation for open banking and other broader initiatives at a UK and European level relating to open access to payment accounts.

Online Financial Institutions is the process of importing your bank statements directly from your bank into Aqilla. Importing transactions will notify the user by Email, Bell and Smart Events.

With this feature you do not need to upload the bank transaction documents manually. 

You simply configure the connection to your bank, synchronize with Aqilla and the transactions are automatically uploaded to Aqilla each day. 

Just like with the manual bank downloads, the transactions can be used to generate Bank Transaction Documents and perform the Automatic Bank Reconciliation


Import your transactions directly 

With Open Banking you no longer need to manually upload your bank transaction documents.  

You simply configure the connection to your Financial Institution, synchronise with Aqilla and the transactions are automatically uploaded each day. 

Just like with the manual bank downloads, the transactions can be used to generate Bank Transaction Documents and perform the Automatic Bank Reconciliation.


You can import your transactions directly into a Bank Transaction document using the Import Transaction Button on the Document Line




Before you start:  Please make sure the Bank Account Number and Bank Sort Code in  Bank Account Details are correct in Aqilla




Bank Balances are available on the Bank Account Details Edit page. 
































Add New Connection


Online Financial Institution page is found in the Configuration menu and allows you to configure and administer the connection to various online financial institutions. 



Click on Add New  to create a new connection. 

 Add a New Financial Institution window will open. 

It is important that you select the correct Country Code as this determines what the online portal can connect to. 

Name, Code and Description is for your references in Aqilla.   

You can also select a Notification template in case of a problem and imported transactions.  If you have setup your notification templates you can specify them now or edit the connection later. 

Click on Save when you are done.  



























Authorise Financial Institution



After you have defined the new connection it is available to link to your financial institution. 

Click on  Link  to to open the Online Link Wizard



 

 The link is performed on the current selected Company and Ledger.

In the example the link is established to the company Nova Geographica Ltd on the Main Ledger.

Import Transactions From determines how far back you wish to import Bank Transactions.

Be careful not to overlap with previous manually imported bank transactions. 

Please read the Info box carefully and Tick to confirm you have understood. 

Please Authorise and Establish a Permanent link to continue. 


























Selecting and Linking to Financial Institution


Next, you will be presented with the window to linking your connection. 

When you click on Continue you authorise Plaid and Aqilla to retrieve your account details and transactions. 




The next step is to select which financial institution you wish to connect to.

You can use the search field if your institution is not visible on the list. 


Plaid supports over 11,000 financial institutions. 






Selecting a name on the list will prompt you to authenticate with that financial institution. 


Click on Continue to authenticate with your bank or financial institution.



























































Online Financial Authorisation 



Selecting a name on the list will prompt you to authenticate with that financial institution. 

Click on Continue to start the process of authentication.

A new window will display the login screen specific to your bank.  Aqilla does not collect the login credentials for your financial institution. 


After authenticating with your financial institution you will be prompted to select which accounts you wish to connect to. 

It will be different for each financial institution. 



After successfully logging in you should be presented with the following message: Your Account has been successfully linked to Aqilla


Press Continue to close the window and finalise the authentication.



Linked Accounts


The Bank account screen will show the linked accounts that matches the bank accounts in Aqilla, and their bank balance. 

Next to the Financial Institution name it should now says LINKED Integrated Status should say CONFIGURED with a timestamp of when your established the connection. 






Unmatched Bank Accounts: 


The bank accounts are downloaded from your financial institution and automatically matched with the Bank Accounts in Aqilla. 

If a bank account is not automatically matched with Aqilla then you can use the Select Account Button to open a new window with the Aqilla bank accounts.    




Click on the account you wish to connect it to. 




The Bank Accounts list shows both the account in Aqilla and the one in your Financial institution. 

You can click on Select Account again to choose another bank account in Aqilla. 




Multiple Connections


You can connect to multiple online financial institutions on the page. Each connection is handled separately.




Important: You need to renew the link every 90 Days.  

The connection is initially shown as NOT LINKED. 

When the connection is established it will be shown as LINKED



When you are done with your configuration and linking to a Financial Institution of your choice, you can see the list on the page. 

You can expand the bank name row to display more information.  

The ribbon also allows you to edit the Bank Name, Code and Description or delete the connection. 































Notifications: 


Notifications are available for when a transaction is imported or if the software encounters a problem. 

You can enable or make changes to your notifications by clicking on Edit for your financial institution.  You can always change the notifications under Edit


You have to create a new notification for each connection. Please see below on how you create a notification template. 





There is currently two types of notifications available. 

You can be notified via email and in Aqilla (via Bell Icon)

You can be notified if an error occurs while importing from the financial institution or when a transaction import has been completed. 

Selecting a Notification Template is required on the Edit Financial Institution Page to enable Notifications.








Examples of successful imports.

Email Subject:  21 Jun 2022 11:12: New Transactions - [#] transactions imported from [Name]

Where [#] is the number of transactions imported and [Name] is the name of your financial instruction. 


In Aqilla notification.  Click on the Bell in the top right hand corner next to your user name. 

The Bell will show the notification for a successful import as seen in the screenshot. 






Bank Balances  Via Plaid

  • Bank Account Details has been enhanced to show the bank balances.

Edit the Home Screen and click on Add Gadget (Bank Balances) to use this new feature. 

Please note that the gadget requires special permissions, which should be added to a User Role before you can access this gadget. 



Gadget Permissions for viewing bank balances:

The Open Banking Balances gadget is not available for everyone to use as it is considered sensitive data. 

You need to add a permission in order to get access to the gadget. 

We recommend creating a separate role and apply to the users that require access. 

The final result should look like the screenshot.



Configuring a Role for Open banking


Go to Configuration > Roles and click on Create new Role



Give the new role a name and an optional description





You have the option to assign users to the  new Role, but this is not a requirement. Click on Apply changes to continue, with or without any login assigned to the role. 





Click on Add Permission to Role


Open up Gadgets and click on Gadgets: Open Banking Balances



You are done!




The Role can later be assigned to users via References > Personnel > User Details > Roles 







Creating a Notification Template


If you wish to be notified when a transaction is successful or has failed then you need to create a new notification template for your Online Financial Institution. 

Please note you need to create a template for Each Connection you have in Online Financial Institutions. 


To access Smart Events, please add the Smart Events gadget to your Aqilla home screen and click on the name Smart Events, as shown in the screenshot. 





The Smart Event calendar now shows the regular Smart Events under Scheduled and Transaction imports under Ad-Hoc

Templates shows you all the Notification Templates. 






Click on Templates on the Smart Event Page. 

You can Create a new Template or access one of the current listed templates.

It is recommended that you access one of the example templates and copy it.

This guide will assume to take a copy of an existing template




Click on the existing template "Example Template: Financial Institution Error"

After taking a copy you can simply click on the Apply Changes button to finish the template.

However, it is highly recommended that you rename the event after the financial institution to show which institute had a successful or failed import


You should only need to change the severity of the notification and add extra recipient to notify. 

You do not need to change the Notification text. You can customise it, if you wish, but it is not recommended to make any changes.






Once you are done you can see the list of your new Notification Templates and they will be available on your Financial Institution Page.
